Your Office Administrator duties and responsibilities are as follows:
Executive Support
Provide administrative support for the President and Chief Operating Officer.
Coordinate and book travel arrangements as needed.
Coordinate training events at the Home Office.
Human Resources Support
Provide administrative support to Human Resources Director.
Track and manage compliance audits for all communities within the Relias training software.
Complete employment verifications and motor vehicle reports as requested.
Conduct Resident and Team Member satisfaction surveys supplying results to HR Director for distribution to community leadership.
Provide support for routine compliance audits of employee files.
Assist with the coordination and distribution of monthly employee appreciation gifts to each community as needed.
Accounting Support
Provide administrative support to the VP of Finance as needed.
Licensing and Insurance
Complete new application for state licensing requirements for new communities.
Monitor renewal dates and complete renewal applications within the timeframe required by state to remain in compliance.
Maintain confidential information provided.
Assist the Controller with completion of insurance renewal applications and coordinate with outside insurance broker.
Assist with the processing of insurance claims and appropriate follow up.
General Administrative Support
Open the corporate office daily Monday-Friday 8:00am-5:00pm.
Maintain an orderly office ensuring the work room has ample supplies, the kitchen is equipped with beverages and utensils as needed.
Responsible for inventory and purchasing of needed items.
Coordinate the on-going support and maintenance of all office equipment.
Daily corporate office mail sorting and delivery.
Complete special projects for President, Chief Operating Officer, Human Resources Director and Controller along with other duties as assigned.

Minimum Qualifications
High School Diploma or G.
E.
D.
Three (3) years of experience managing an administrative function for a business or providing high level executive support.
Demonstrated ability to consistently be detail-oriented, organized, and skilled at multi-tasking.
Strong written and verbal communication skills.
Strong attention to detail.
Office 365 experience including Word and Excel.
Preferred Qualifications
Associate or bachelor’s degree in Business Administration or relevant discipline.
Prior experience managing office equipment/supplies for a large business division or corporate office.
Ability to maintain confidential information.
